Executive Assistant

Position Summary

The Executive Assistant provides high-level administrative and strategic support to the Chief Executive Officer (CEO), Chief Investment Officer (CIO), and Sr. Manager – Office of the Chair. This role is central to ensuring the executive leaders’ time and focus are optimized. The ideal candidate is a trusted partner – capable, organized, proactive, and discreet – with exceptional interpersonal and communication skills.  The Executive Assistant plays a vital role in managing complex logistics and communicating and coordinating with internal and external stakeholders. This role requires good judgment and is well-suited for someone who thrives in a dynamic and high-performing environment, who adapts to change with confidence, and consistently demonstrates a thoughtful, solution-oriented approach.

Reporting & Collaboration

This position reports to and closely collaborates with the Sr. Manager – Office of the Chair. Day-to-day direction related to scheduling and administrative support will primarily come from the CEO and CIO. This role also provides occasional calendar and scheduling assistance to the Chief Operating Officer. 

Key Responsibilities

Executive Support & Prioritization

  • Proactively seek to understand the CEO and CIO’s working styles, communication preferences, and competing demands, ensuring partnership and support are both efficient and effective

  • Serve as a key liaison between the CEO/CIO and internal/external stakeholders and communicate on their behalf with professionalism, clarity, and discretion

  • Organize the CEO’s incoming email inbox to help ensure prioritization of critical communications and efficient workflow; Escalate urgent matters and ensure timely responses

  • Assist the CEO by monitoring and managing inquiries and invitations received via a variety of sources (email, GHR general email box, voicemail, LinkedIn, USPS mail, etc.), ensuring timely and appropriate responses

  • Maintain organized systems for filing confidential documents and maintaining up-to-date contact records

Calendar and Meeting Support

  • Manage CEO and CIO’s calendars to help them align their time with strategic priorities

  • Schedule meetings (in-person, virtual, and hybrid) across multiple time zones

  • Set up conference rooms, AV, materials, and hospitality for meetings; collaborate with other staff for meeting preparation and visitor registration as appropriate

Travel & Expense Management

  • Coordinate complex domestic and international travel, ensuring smooth itineraries

  • Anticipate executives’ needs and prepare them for meetings and travel

  • Process expense reports and submit invoices with accuracy and timeliness on behalf of the CEO, CIO, board and committee members, and guest speakers

Project Support

  • Support the Senior Manager - Office of the Chair with various projects, such as email newsletter production, board and committee meeting scheduling, policy compliance record keeping, discretionary grant coordination, minutes filing, etc.

  • Complete a variety of projects and tasks on behalf of other executives upon request

Team Collaboration

  • Coordinate recurring meetings and performance reviews between the CEO and direct reports

  • Ensure staff have access to leadership when needed

  • Collaborate with other administrative staff to balance workloads and provide assistance as needed

Qualifications

  • Administrative Expertise: 7+ years’ experience in effectively managing complex calendars, travel arrangements, and expenses for C-level leaders

  • Solution Mindset: Remains resourceful and proactive; anticipates challenges and offers practical, forward-thinking solutions

  • Meticulous Attention to Detail: Identifies small details that make a big impact and ensures nothing falls through the cracks

  • Skilled Communicator: Conveys ideas with clarity, professionalism, and polish in both written and verbal formats, while tailoring communication style to align with the preferences of the supported executives

  • Interpersonal Skills: Cultivates trust and collaborates effectively with diverse teams and external stakeholders, including global and community leaders

  • Adaptability in Ambiguity: Demonstrates composure in dynamic environments by asking thoughtful questions, exercising sound judgment, and proactively seeking guidance when needed

  • Discretion: Experience in appropriately handling highly confidential information.

  • Tech Fluency: Demonstrates advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint); Adept at learning new software quickly and troubleshooting tech issues on behalf of others

Salary Range

Starting salary range for this position is $80,000 - $90,000 depending on qualifications.

Work Environment

GHR fosters a respectful, inclusive, collaborative and fun environment, a supportive and engaged team. GHR is currently a hybrid work environment with headquarters in downtown Minneapolis. This position will be required to be in person a minimum of three days a week on a regular basis and up to five days a week during peak times. Occasional domestic travel may be required in this position.
